What’s Included in A Last Minute Wedding Checklist?

Last-minute wedding checklists are full of the things you always forget and are vital to your big day going smoothly. Having a last minute wedding checklist will ensure you haven’t missed anything during the hustle and bustle of wedding prep and planning, and will likely help you fall asleep faster knowing you have double-checked everything and deserve a good night’s sleep.

Let's go over a few key items that we recommend checking off your checklist during the week of your wedding:

Last-Minute Week of Wedding Checklist

#1. Finalize Seating Arrangements and Table Decorations

This is the time to make sure guest seating and table decorations are all finalized. Make sure you have enough place cards and centerpieces, and check in on who is bringing the appropriate napkins, silverware, seating chart, etc. to be ready for your big day!

#2. Pick Up Any Rental Items, Such as Chairs, Linens, Dishes, etc., From the Rental Company

Depending on what wedding venue you signed with, you may be able to arrange to pick up your rentals beforehand and drop them off at the venue to start setting up early. It's important to note, however, not every venue is built this way. Here at CLAY Venues, we ask that you plan to have all rentals delivered during the time of your 10 hr booking and planned to pick them up the following morning at the latest.

#3. Arrange for Any Necessary Transportation To and From the Ceremony and Reception Venues, Such as Limousines or Shuttle Buses

This is a big one that many overlook during the planning process. It is essential to make sure you know who will be doing the driving and when. Having a reliable transportation service like limos or shuttle buses that can accommodate your guests can help take some of the stress out of worrying about your guest's safety during the wedding night! Not to mention you and your spouse not having to worry about driving anywhere, because why should you!? :)

You Shouldn't Be the Only Person Who Reviews Your Week of Checklist

One of the best ways to ensure your wedding day is smooth with little to no hiccups is by communicating! It's not always feasible to rely on your point of contact to relay all the important booking information to your trusted vendors such as arrival time, departure time, loading dock locations, entry codes, wedding timeline, and much more! That's why it's incredibly important to relay to all of your vendors, at the very latest the week of the wedding, of all the details they can expect for the venue booking you signed. The more your vendors know, the better they can serve you and assist in bringing your dream wedding to life.

What Does Being a Point of Contact Entail for Weddings?

A "Point of Contact" is typically the person responsible for overseeing all the details leading up to your wedding day such as communicating with vendors, making sure all the details you signed in your contract are being met, and overseeing logistics like setup and tear down. As long as you

Can I Be My Own Point of Contact For My Wedding?

In short, no. If you are, you will be very, very stressed at your wedding as if any vendors or guests have questions about the wedding, they will come immediately to you. Do yourself a favor and either hire a Day of Coordinator/ Wedding Planner or simply ask a member of your bridal party to assist.

Who Should My Point of Contact Be On The Day of My Wedding?

If you found your dream wedding venue and they do not provide an in-house Day of Coordinator, then you probably need to determine who is the best fit. We've seen many POCs in our over 20 years of experience in the wedding industry and we are here to spill the tea on the best options:

Mother of the Bride

This is a classic and usually, the mother of the bride is active in the wedding planning process to begin with. If she doesn't have all the answers, she can always make her best guest as she likely knows the bride better than anyone! ;)

Bridesmaid/ Groomsman

The people in your bridal party are likely individuals who know you and the groom pretty well. From relatives to college roommates, having a bridesmaid or groomsman take on the POC duties is a great option. We don't recommend having your maid of honors or best man take on this additional role as they likely have their own responsibilities on the day of.

Close Family Friend

If you're concerned about overloading your family or bridal party with more wedding day responsibilities, we totally get it. That's why having a close family friend be the Point of Contact for your wedding is a great alternative. They can assist in setting up and tear down, but in between get to enjoy the wedding just as the rest of your guests! Just make sure you meet with them beforehand and share your wedding plans and visions so they feel confident speaking on your behalf on the day of.
